We are looking for a part-time Editorial Assistant who will provide excellent support in the efficient running of six academic peer-reviewed journals. The journals are well respected in the field of chemical engineering and ambition exists to further grow this reputation. The journals are published in partnership between IChemE and Elsevier.
You will need to have strong organisational skills and first-rate written and verbal communication skills. Previous experience with academic journals would be advantageous but is not essential as training and support will be provided. You should be happy to work as part of a team and understand the interpersonal skills required for working with volunteers.
You will be educated to at least A-Level standard and preferably hold a degree level qualification although this is not essential. Ideally, you will have at least two years’ experience working in an administrative environment with demonstrable skills in IT, online tracking systems, administration and customer service. Attention to detail, confidence in dealing with customers at all levels and the ability to use your own initiative will be required to succeed in this role.
Core responsibilities of the role include:
- Liaising with authors, reviewers and editors throughout the peer review process
- Tracking manuscripts submitted to the journals team
- Tracking submissions for journal special issues and issuing reminders
- Using Elsevier’s current web-based manuscript tracking websites EES (Elsevier Editorial System), EVISE and Editorial Manager
- Supporting journal editors in their use of EES, EVISE and Editorial Manager
- Testing of new journals software as and when the need arises
- Attending editorial board meetings
- Dealing with requests for copyright permissions
- Providing support for the annual publication medals assessment process
- Providing administrative support to the Journals team
Due to IChemE’s international nature, this position requires a willingness to work flexibly and to engage in business discussions outside of normal working hours. The position is based at our Rugby office although some occasional travel may be required within the UK.
This is a part-time role where weekly hours are negotiable and can be discussed at interview stage. The successful candidate may have the option to work either 3 days a week (22.5 hours per week) working Monday, Thursday plus another weekday, or alternatively to work 5 half days a week (18.75 hours) working Monday through to Friday.
The pro-rata, part-time annual salary is dependent on the contracted number of hours chosen to work but would typically be in the region of £8,500 - £10,500 plus benefits which includes an excellent pension scheme. Only candidates eligible to work in the UK will be considered.
